This role supports the IAQ Leadership Team.  Industrial Air Quality (IAQ) is a part of Filtration Group. It’s one of the 3 groups that make up Filtration Group (Life Sciences and Industrial Technology making up the other 2).  IAQ is a $800 million dollar business dedicated to products that clean and purify air – for a safer, healthier, and more productive world.


  • Manage and maintain multiple executive calendars, including recurring meetings, prioritizing appropriately, and using good judgment in offering solutions to complex scheduling and meeting planning as needed.
  • Partner and collaborate with the Executive Administrative Assistant to the CEO, CHRO and CFO, Filtration Group
  • Preparing, reviewing, and processing expense reports, in line with company T&E policy
  • Supporting the scheduling and coordination of special events
  • Write communications for internal release, such as but not limited to organizational announcements
  • Provide reception support as needed in the office
  • Scheduling domestic and international travel as appropriate
  • Supporting team administration including on boarding for new hires in partnership with HR, updating distribution lists, setting up group-wide team meetings, managing IT ticketing requests, coordinating team set up in the office.
  • Undertaking the tasks of receiving calls, take messages and routing correspondence
  • Support coordination of special projects and project management
  • Late nights, early mornings, weekends, and holiday work are common; this person always provides a high degree of support to the IAQ leadership team.
  • Complete work with minimal direction, and follow instructions as provided
  • Handling executives' requests and queries appropriately
  • Be resourceful, work within the company’s core values (Trust, Entrepreneurial, and Bias for Action); building strong relationships, being resourceful and knowing how to navigate a complex, decentralized organization fluidly will be critical to success in this role.
  • This role is a hybrid role, with time in the Oakbrook, IL office and time working at home; the schedule is flexible and dependent upon business need.

  • Advanced proficiency in Microsoft Office Suite or related software
  • Minimum 5 years of experience in an administrative role supporting executives with complex calendars and travel
  • Proven ability to collaborate and deliver results in a complex decentralized organization during times of change and evolution

Work Environment

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.
  • The noise level in the environment is quiet.

Physical Demands

  • While performing the duties of this job the employee is regularly required to sit and talk or hear. The employee is occasionally required to stand and walk. The vision requirements include, close vision, distance vision and ability to adjust focus.
