Reporting to the President of Porex, the Executive Administrative Assistant provides high-level administrative support to the Porex leadership team, managing complex schedules, coordinating meetings, handling confidential correspondence, preparing reports, making travel arrangements, and ensuring the smooth operation of their daily activities. This role requires strong organizational skills, excellent communication, and proficiency in MS Office software. Hybrid: 2 days a week remote and 3 days a week onsite in either our Fairburn, GA or Colonial Heights, VA location.

Responsibilities

Calendar Management: Proactively manage executive schedules, including scheduling meetings, appointments, and conference calls, while considering time zone differences and priorities. 

 

Correspondence Management: Draft, edit, and distribute professional correspondence, including emails, letters, and memos, ensuring accuracy and appropriate tone.

 

Meeting Coordination: Prepare agendas, distribute meeting materials, take detailed minutes, and follow up on action items.

 

Travel Arrangements: Arrange complex domestic and international travel, including booking flights, accommodations, ground transportation, and managing itineraries.

 

Expense Reporting: Process and submit expense reports in accordance with company policies.  

 

Document Management: Organize and maintain electronic and physical files, ensuring confidentiality and easy retrieval of important documents.

 

Project Support: Assist with project management tasks, including research, data compilation, and presentation preparation.

 

Communication Management: Screen phone calls, manage incoming emails, and direct inquiries to appropriate parties.

 

Office Administration: Order office supplies, coordinate office services, and maintain office equipment.

Qualifications

  • Bachelor’s Degree in Business Administration or a related discipline preferred.
  • 10+ years of administrative experience
  • Exceptional Organizational Skills: Ability to prioritize tasks, manage multiple projects simultaneously, and meet deadlines effectively. 

  • Excellent Communication Skills: Strong written and verbal communication skills to interact with internal and external stakeholders at all levels.

  • Proficiency in Microsoft Office Suite: Advanced skills in Microsoft Word, Excel, PowerPoint, and Outlook.

  • Discretion and Confidentiality: Ability to handle sensitive information with utmost confidentiality.

  • Attention to Detail: High level of accuracy and meticulousness in all tasks.

  • Adaptability and Flexibility: Ability to adjust to changing priorities and work effectively in a fast-paced environment.
