Position Overview: The Production Coordinator will be responsible for planning, scheduling, and coordinating the internal execution of final assembly and shipping operations for capital equipment orders. Operating in a high-mix, engineered-to-order manufacturing environment, this role ensures that production activities align with order requirements, vendor deliveries, and available in-house capacity. The coordinator will work closely with internal departments, including Engineering, Quality, and Materials Coordination, to ensure seamless integration across project stages.

In addition to managing daily workflow and facilitating production readiness, this role plays a key part in ensuring project-specific documentation, testing, and inspection activities are properly planned and executed. The Production Coordinator will serve as the go-to resource for internal stakeholders seeking accurate production status, lead time projections, and shipment forecasts.

Responsibilities

  • Production Planning & Assembly Coordination: Create and maintain detailed build schedules for capital equipment final assembly based on current orders, priority, and available capacity. Ensure alignment between production activity and engineering release, material availability, and documentation readiness. Coordinate directly with the Final Assembly team to support efficient work order execution, kitting, and staging. Prioritize build sequences based on customer deadlines, internal capacity, and production constraints.
  • Documentation, Testing & Inspection Planning: Interpret project-specific documentation and regulatory requirements to ensure timely planning of inspections, testing, and associated customer witness events (e.g., FATs). Coordinate with Engineering and Quality teams to ensure all testing protocols, certifications, and inspection milestones are completed in alignment with the project schedule. Maintain awareness of special project requirements (e.g., third-party testing, documentation packages) and integrate these into production planning.
  • Cross-Functional Communication & Alignment: Serve as the primary point of contact for real-time production status updates, schedule risk identification, and resolution of execution-related challenges. Provide ongoing updates to internal stakeholders (Sales, Program Management, Engineering) regarding build progress, shipment timing, and revenue forecast alignment. Lead daily or weekly stand-up reviews with Final Assembly, Quality, and Materials Coordination teams to maintain alignment and address open issues.
  • Shipping Support & Logistics Interface: Coordinate outbound shipment timing with logistics and warehouse personnel, ensuring that all equipment is ready for dispatch upon completion of testing and inspection. Collaborate with the Materials Coordinator on inbound component tracking to adjust build schedules as needed.
  • Production Visibility & Continuous Improvement: Support visual management tools, dashboards, and scheduling boards that improve production transparency. Identify and support opportunities to improve process flow, material staging, and documentation readiness to reduce downtime and improve throughput. Maintain accurate records in ERP and other planning tools to ensure work order traceability and performance reporting.

Qualifications

  • Education: Associate’s or Bachelor’s degree in Operations Management, Industrial Engineering, Supply Chain, or a related field preferred, but not required.
  • Experience: 3+ years in production coordination, manufacturing planning, or project execution roles within a capital equipment, industrial machinery, or complex assembly environment. Familiarity with engineered-to-order (ETO) and made-to-order (MTO) manufacturing processes preferred.
  • Skills: Strong working knowledge of ERP/MRP systems and production scheduling practices. Ability to interpret production drawings, bills of materials, and testing/inspection requirements. Excellent communication, organization, and time management skills. Proven ability to coordinate across departments and balance multiple project timelines and constraints.
